This policy explains what information Novare Media collects when you use our website or our client portal, how we use it, and the choices you have.

Overview
Novare Media LLC ("Novare Media," "Novare," "we," "us," or "our") is a media and marketing partner based in Scottsdale, Arizona. This Privacy Policy covers two things:
- Our website at novare-media.com, which anyone can visit.
- Our client portal at portal.novare-media.com, which we provide to clients we work with under contract.
The two are used differently and collect different information, so we describe each below. By using our website or portal, or by contacting us, you agree to the practices described here.
Information we collect
On our website
Information you give us. When you fill out a form, book a call, or email us, we collect the details you choose to share. That usually includes your name, email address, phone number, company, and anything you write in your message.
Information we collect automatically. When you visit the site, we and our analytics tools collect basic technical information, such as your IP address, browser and device type, the pages you view, the site that referred you, and how you move through the site. Most of this is collected through cookies and similar technologies.
In our client portal
The portal is for clients we work with, and it collects different information:
- Account information, such as your name, email address, and login credentials.
- Business and project information that you and we manage together, such as estimates, invoices, contracts, tasks, and the marketing data and reports for the accounts we handle for you.
- Payment information. When you pay an invoice, our payment processor (Stripe) handles your card or bank details. We receive confirmation of payment and limited details such as the last four digits, but we do not store full card or bank account numbers.
- Agreements you sign, including electronically signed estimates and contracts, along with basic records of when and how they were signed.
The portal does not use the Google Analytics or Microsoft Clarity behavioral analytics that we run on our public website. It uses only the cookies needed to keep you signed in and keep the portal secure, and we may use privacy-focused, aggregate performance monitoring to keep it running well.
How we use your information
- Respond to your inquiries and provide the services you ask about.
- Operate, maintain, and improve our website and portal.
- Deliver the services in your contract, including creating and sending estimates, invoices, and contracts, processing payments, and managing your marketing work.
- Understand how people use our website so we can make it better.
- Send updates or marketing you have asked to receive, which you can opt out of at any time. We do not use portal or client business data for our own marketing.
- Meet legal, tax, and security obligations.
Cookies and analytics
Our website uses cookies and similar technologies to keep the site working, remember your preferences, and measure performance. We use Google Analytics and Microsoft Clarity to understand traffic and on-page behavior in aggregate. These providers may set their own cookies, subject to their own privacy policies. You can control cookies through your browser settings, and you can opt out of Google Analytics using Google's browser add-on. Blocking cookies may affect how parts of the site work.
Our portal uses only the cookies necessary to sign you in and keep your session secure. It does not run Google Analytics, Microsoft Clarity, or advertising cookies.
How we share your information
We do not sell your personal information. We share it only in these limited cases:
- With service providers who help us run our website, portal, and business, such as hosting, analytics (website), email, scheduling, and payment processing (Stripe), and only to do that work for us.
- When the law requires it, or to protect our rights, safety, or property.
- As part of a merger, acquisition, or sale of assets, in which case we will let you know.
Data we handle on behalf of our clients
When we provide services, the portal may hold data that belongs to our client's own business and its customers, such as leads, reviews, and campaign performance. For that data, our client is responsible for it (the "controller") and we handle it on their instructions to provide the services (the "processor"). Our handling of that data is governed by our contract with the client. Where possible, we minimize what we store, for example by avoiding customer contact details we do not need.
Data retention
We keep your information for as long as we need it to answer your questions, provide our services, meet our legal and tax obligations, and enforce our agreements. When we no longer need it, we delete or de-identify it.
Your rights and choices
Depending on where you live, you may have the right to access, correct, or delete the personal information we hold about you, or to object to or limit certain uses. You can also unsubscribe from marketing emails at any time using the link in the email. If we hold data on behalf of a client, we will refer your request to that client. To make a request, email us at hello@novare-media.com. We will respond within a reasonable time and in line with applicable law.
Data security
We use reasonable technical and organizational measures to protect your information, including access controls and encryption where appropriate. No method of transmission or storage is completely secure, so we cannot guarantee absolute security, but we work to keep your information safe.
Third-party links and services
Our website and portal may link to or connect with other services we do not control, such as advertising and analytics platforms. This policy does not cover them, so we encourage you to read the privacy policy of any service you use.
Children's privacy
Our website and portal are not directed to children under 13, and we do not knowingly collect information from them. If you believe a child has given us information, contact us and we will delete it.
Changes to this policy
We may update this policy from time to time. When we do, we will change the date at the top of this page, and significant changes will be made clear on the site.
